AI chat agent for small business: what it answers, what it hands over, and what it costs
An AI chat agent for a small business answers the routine questions customers ask on your website, such as prices, hours, service area and how to book, using only information you've approved. Anything it can't answer, it hands to a person with the customer's details attached. Done-for-you setups usually cost a setup fee plus a monthly fee.
That's the whole idea. It isn't a robot salesperson and it isn't meant to run your customer service. It's a first responder that works at 11pm, never loses a message, and knows when to step back.
What a good chat agent actually answers
Start by looking at your own inbox. Pull up the last 50 enquiries and sort them. For most local businesses, the majority fall into a short list:
- "How much does X cost?" (or "roughly how much?")
- "Do you cover my area?"
- "Are you open on Saturday?"
- "Can I book for Thursday?"
- "Do you do Y?" (a service you may or may not offer)
- "What do I need to bring / prepare?"
- "Where are you / is there parking?"
Every one of those has a written answer somewhere in your head. A chat agent needs it on paper. Once it's written, the agent can answer each question at any hour, in a consistent way, and then ask for a name and phone number so someone can follow up.
Here's a short example for a fictional dog grooming salon:
Customer: how much for a full groom for a cockapoo
Agent: A full groom for a medium dog like a cockapoo is $65 to $80, depending on coat condition. That includes bath, cut, nails and ears. Would you like to book? I can take your name and number and the team will confirm a time.
Notice what it didn't do. It didn't invent a discount, promise a time slot it can't see, or comment on the dog's health.
What should always go to a person
This is the part most setups get wrong. The agent should hand over, quickly and politely, whenever a conversation involves:
| Goes to the agent | Goes to a person |
|---|---|
| Published prices and ranges | Custom quotes and discounts |
| Opening hours and location | Complaints and refunds |
| Service area checks | Anything about safety, health or legal matters |
| Booking requests (collect details) | Changing or cancelling an existing job |
| "Do you offer X?" | An upset or confused customer |
| What to prepare before a visit | Anything the agent isn't sure about |
The handover is a feature, not a failure. A customer who gets a quick, honest "I'll get someone to call you within the hour" is happier than one who gets a confident wrong answer. Write that rule into the setup: when in doubt, collect details and pass it on.
Where does the handover go? Wherever your team already looks. An email to the office inbox, a message in a shared WhatsApp group, a new lead in your CRM. The worst setup is one that sends handovers to a dashboard nobody opens.
What it costs, honestly
There are three broad ways to get a chat agent:
- DIY chatbot tools. Many website builders and help desk tools now include an AI chat add-on for a low monthly fee. You write the knowledge, you test it, you fix it. Cheap in money, expensive in evenings.
- Done-for-you agent. Someone builds the agent from your information, sets the handover rules, connects it to your inbox or CRM and keeps it updated. You pay a setup fee and a monthly fee.
- Custom build. For businesses that need the agent to check live stock, pull booking availability or log in customers. This is real development work and priced like it.
For most small businesses, option 2 is the sweet spot, and option 1 is fine if you like tinkering and your questions are simple.
When a chat agent is NOT worth buying
We sell these, so take this seriously: plenty of businesses don't need one.
Skip it if you get fewer than ten website enquiries a week and someone answers within an hour during the day. Skip it if almost every enquiry needs a site visit or a custom quote before any useful answer can be given. Skip it if your website gets very little traffic. Fix the website and your Google profile first, then come back.
And skip it if nobody on the team will read the handovers. An agent that collects leads into a black hole is worse than no agent, because customers think they've been heard.
How to start without overthinking it
You don't need a perfect knowledge base on day one. You need a decent one and a habit of improving it. Here's the order we'd follow:
- Write your top 20 answers. Use real customer wording for the questions. Our guide to writing chatbot FAQ answers has examples by type of business.
- Write the handover rules. What topics always go to a person, and where the handover lands.
- Decide what details to collect. Usually name, phone or email, what they need and their postcode or area.
- Test it yourself. Ask it awkward questions. Ask it things you don't offer. Try to make it promise something.
- Go live on one page first. Your contact page or your busiest service page.
- Read every conversation for the first two weeks. You'll find gaps fast. Add answers, tighten the rules.
- Then add it site-wide and, if it suits you, to WhatsApp or Instagram messages.
After the first month, a 15 minute review every couple of weeks is usually enough.
One more habit worth building: whenever someone on your team answers a customer question by email or phone that the agent couldn't, ask whether the answer belongs in the knowledge base. If the question came up once, probably not. If it's the third time this month, write it down. Over a few months the agent gets noticeably better, and the handovers it does send are the ones that genuinely need a person.
Also keep the information current. When prices change, opening hours shift for a holiday, or you stop offering a service, update the agent the same day you update the website. An out of date answer given confidently at 10pm does more harm than no answer at all.
Chat or voice?
If most of your customers phone rather than browse, a chat agent only solves half the problem. Trades and clinics often lose more work through unanswered calls than through unanswered web forms. In that case, look at a voice agent that picks up when your team can't. We cover that in our post on AI voice agents for appointment booking.
How Yardly Agents handles this
Our Lead Agent is $1,200 setup, then $200 a month. We write the knowledge base with you from your real enquiries, set the handover rules, connect it to wherever your team already works, and review conversations with you in the first weeks. The agent answers the repeated questions. Your team handles the judgement calls and the relationships.
If you also need a new site, the website plus Lead Agent bundle starts at $1,900. Prices are in USD and quoted the same for UK and UAE businesses. See the packages, and if your enquiry volume is too low for an agent to pay for itself, we'll tell you that on the first call.
Frequently asked questions
What is an AI chat agent for a small business?
It's a chat window on your website or messaging channel that answers customer questions using information you've given it: your services, prices, hours, service area and policies. When a question goes beyond that, it collects the person's details and passes the conversation to someone on your team.
Will an AI chat agent give customers wrong answers?
It can if it's set up loosely. The fix is to limit it to your own written information, tell it to say "I'll check with the team" when it isn't sure, and review the first few weeks of conversations. A well set up agent should hand over far more often than it guesses.
How much does an AI chat agent cost?
Simple plug-in chat tools start at a few dollars a month but need you to write and maintain everything. A done-for-you agent trained on your business and connected to your inbox or CRM typically costs a setup fee plus a monthly fee. Ours is $1,200 setup and $200 a month.
Do I need a chat agent if I already reply quickly?
Maybe not. If you get a handful of enquiries a week and answer them within the hour, a chat agent adds little. It earns its keep when enquiries arrive after hours, when the same questions repeat all day, or when replies are slipping because everyone is busy on the job.
